Quotes & Orders

Tags

Use tags to organise and categorise quotes and orders, and to drive defaults such as which quote template gets used.

Puree has two kinds of tags. Quote tags label quotes, enquiries and opportunities by event type, customer group or anything else you sort your work by. Item tags label your catalogue items, such as “Menu1” or “Spring menu”, so you can find a group of items quickly; they are internal and never shown to customers. Both are managed on the Tags page, which has a Quote tags tab and an Item tags tab.

The Tags Page

Go to Settings and choose Tags. The page has two tabs, Quote tags (where it opens) and Item tags, and each tab has its own list, search box, Show deleted toggle and New button.

The Tags page with the Item tags tab selected (a red arrow points to the Quote tags and Item tags switch), listing the item tags Menu1 and Spring menu with their colours, a search box, a Show deleted toggle and the New item tag button

  • Create a tag: click New tag on the Quote tags tab, or New item tag on the Item tags tab. Give it a name and a colour and save. Quote tags can also have an optional description.
  • Rename or recolour a tag: click Edit on its row.
  • Delete a tag: click Edit, then Delete. A deleted tag is no longer offered. A deleted item tag also disappears from your items and from searches, while a deleted quote tag that’s already on a quote or enquiry can stay visible there. Either way it isn’t lost: tick Show deleted, open the tag and click Restore to bring it back.

The two lists are separate. A quote tag is never offered on an item, and an item tag is never offered on a quote, enquiry or opportunity, so you can have a Wedding quote tag and a Wedding set item tag side by side.

Quote Tags

A quote tag is a coloured label, such as “Wedding”, “Corporate” or “Boat Shed”. The same quote tags work on quotes, enquiries and opportunities. A lead tagged Wedding on the CRM board is still tagged Wedding once it becomes a quote.

Creating Quote Tags on the Spot

You don’t have to go to the Tags page first. On a quote or an enquiry page, type the name into the + New tag… field at the bottom of the tag picker and press Enter. On the CRM board or in the Manage panel, type the name into the picker’s search box and press Enter. Either way, Puree creates the tag, gives it the next colour in the set, and applies it straight away. On the Log enquiry and New opportunity forms, a new tag is created when you save the form. If a tag with that name already exists, Puree uses it rather than making a duplicate. You can change its colour later on the Tags page.

Tagging a Quote

Open the quote. The tags sit above the quote card: click Add tag, then click the tags you want. Click a tag again to take it off. Each click saves straight away. To add a tag you don’t have yet, type its name into the + New tag… field at the bottom and press Enter.

Coloured tags show against each quote on the Quotes page, so you can pick them out at a glance.

Tagging Enquiries and Opportunities

You can tag a lead wherever you happen to be working. On a lead that’s already saved, the picker applies each change straight away; on a new one, the tags are saved with the form.

  • On the CRM board. Every board has a Tags column next to the name. Click + Tag (or the tags already on the row) to open the picker. Type to search your tags, click one to add it (click it again to take it off), or type a new name and press Enter.
  • In the Manage panel. The same picker sits under the name at the top of the panel.
  • When you log it. The Log enquiry and New opportunity forms have a Tags field. Click it, search for the tags that apply and tick them, or type a new name and press Enter. New tags are created when you save the form.
  • On the enquiry page. The tags sit beside the account manager at the top.

When you convert an enquiry or opportunity to a quote, its tags come across to the quote automatically, alongside the notes and files.

Filtering by Quote Tags

  • Quotes page: use the Tag filter at the top and choose a tag to show only the quotes that carry it. It combines with the other filters, so you can see, for example, only upcoming accepted quotes tagged Wedding. Choose All to remove it. You can also type a tag’s name into the search box. See The Quotes Page.
  • CRM board: the Tag filter sits beside Account manager. It applies to every board, the counts on each tab, and the figures on the Quotes lost and Quotes won boards. It is remembered between visits. See CRM Boards.
  • Calendar: filter the month by tag. Enquiries you choose to show on the calendar follow the same filter.
  • Reports: the sales and revenue reports can be narrowed to one or more tags.

Item Tags

Item tags are your own labels for catalogue items, such as Menu1, Spring menu or Winter 2026. Use them to find and pick a group of items in one search, whatever categories they sit in. Menu, beverage, equipment and miscellaneous items can be tagged; venue items have no Tags field.

Item tags are internal. They help your team find items. They never appear on anything a customer sees: not the customer quote, the quote PDF, your quote templates, the online menu, the online order form or emails.

Creating Item Tags

Create one on the Item tags tab of the Tags page with New item tag, or on the spot: type a new name into an item’s Tags field (or a Tags cell in bulk edit) and press Enter. Typing on its own only filters the list; pressing Enter is what creates the tag.

Tagging an Item

Open an item from the items list. In its Classification block there’s a Tags field. Click Add tag and tick the tags you want; each one shows as a pill, and the × on a pill takes it off.

The Edit item panel's Classification block: under Category and Kitchen section, a red arrow points to the Tags field, which holds the pills Menu1 and Spring menu, each with an ×, beside an Add tag button

On an item you’ve already saved, each change saves straight away. You’ll see Saving… and then Saved beside the field, without clicking the item’s Save button, and nothing else you’ve changed on the form is saved with it. On a new item, the tags are saved when you save the item.

Tagging Many Items in Bulk Edit

Click Bulk edit in the toolbar at the top of the items list.

  • The Tags column. Every row has a Tags cell that works like the item’s Tags field. Tick or untick a tag, or type a new name and press Enter, and it saves at once.
  • Add tag and Remove tag. Tick the rows you want, choose Add tag or Remove tag from the field list, pick the tag, click Apply and confirm Update N items? when prompted. Adding a tag leaves each item’s other tags alone, and removing one takes off only that tag.

Add tag and Remove tag appear once your account has at least one item tag that hasn’t been deleted.

Finding Items by Tag

  • The items list. A Tags column shows each item’s tags, and the Tag filter beside Category and Section shows only the items with that tag. The Search items box matches tag names as well as item and category names. It searches within the filters you have set, so clear Category and Section to search across every category.
  • The order form. On a quote’s items page, the item search matches tags, and tags show as small coloured pills in the search results, in each category’s list, on the lines you’ve added, and in the item window when you add or edit a line. They’re for your team only and are never saved onto the quote.
  • Online menus and order forms. On the Items tab of an online menu or online order form, each item shows its tags, and Search all items matches tag names, so you can find the eligible active items with a tag, ready to include.
  • Kitchen reports. An All tags dropdown appears on Next 7 days, Next Week, Next 4 weeks, Daily Orders, Production Report, Item Report, Upcoming Items and the Shopping list, on the Menu, Beverages and Equipment tabs (beside All Sections on the Menu tab when your account has sections). Choosing a tag keeps only the lines for items with that tag, combined with the sections and the tab. A bundle’s contents and a package’s lines count under their own item’s tags; on the report views, a bundle set to Show the bundle as one item counts under the bundle’s own tags instead. Orders with no matching lines drop out. On the seven report views, Download CSV and Print PDF follow the filter, with the tag named in the PDF heading; the Shopping list has no download. It lists live item tags only. See Kitchen Reports.
  • Packages. In a flexible (customer choice) rule’s Choose eligible items window, each item shows its tags and Filter items matches tag names across every category. Filter by the tag, then use Select all in each category you want, to select that category’s visible matches. A choice rule can span several categories within one section (Menu or Beverages) but can’t mix sections, and items you’ve already selected stay selected while you filter. The fixed items picker doesn’t show or search tags.

A quote's items page with "Spring" typed into the item search (red arrow): the results list Smoked salmon blini with its Menu1 and Spring menu tag pills (second red arrow) among other items whose names contain spring

Every one of these searches matches parts of item and tag names, and the items list and the package picker match parts of category names too; the order form and the online editors match item and tag names only. Searching Menu1 also finds Menu10, and searching Spring also finds dishes with “spring onion” in the name, so check the results before you select a whole list. A deleted item tag matches nothing and shows nowhere.

For a fuller walk-through, see Item Tags: Find a Whole Menu in One Search, Whatever Categories It Sits In.

Tips

  • Keep both lists short. A handful of tags you actually filter by is worth more than dozens nobody remembers to apply.
  • Tag leads early. A quote tag added to an enquiry carries through to the quote, so the Won and Lost figures for Wedding include the work that started as a phone call.
  • Quote templates follow quote tags. If you use a quote tag to choose a quote template automatically, that works for converted enquiries too, because the tag is already on the quote when it opens.
  • Name item tags so they’re easy to search. A distinctive name like Spring menu 2026 won’t also match a dozen dish names the way Spring does.
  • Use item tags for groups that cut across categories: a set menu, a season, or the items you only offer one client or venue.
